A Organizer's Checklist for a Stress-Free Trip

Every year, spring break just sneaks up on me. One minute, I’m still recovering from the holiday madness, and the next, I’m knee-deep in travel bookings and wondering why I didn’t start this process sooner! This year, my daughter Kendall made the big decision—we’re heading to Nashville for spring break! From there, we’ll road trip to Louisville and Chicago, checking a few more states off our bucket list!

Now, as a Professional Organizer (and someone who loves a good travel itinerary), I refuse to let any of our trips turn into a stressful, last-minute scramble. I’ve learned that the key to a smooth, actually fun vacation is a well-organized plan. So, whether you’re chasing the sun, hitting the slopes, or planning a laid-back family getaway, here’s my step-by-step guide to planning a stress-free trip!

Step 1: Map Out Your Trip (Before Booking Anything)

The key to a stress-free trip? Start with a plan. Not a minute-by-minute itinerary, but a big-picture game plan that makes booking and packing easier.

Professional Organizer Tips:

  • Create your own custom map: I use a Google map to pin all the places we want to visit—restaurants, experiences, landmarks—so we’re not aimlessly wandering.

  • Create a shared travel doc: For every trip, I create a shared folder on my Google Drive. Within that, I use a simple Google Doc to add our flight details, hotel info, and must-do activities. This keeps everything in one place, and everyone has access to it!

  • Don’t overbook: I always leave room for spontaneous moments because some of the best memories come from unexpected adventures!

Step 2: Organize Your Travel Details (So You’re Not Scrambling Later)

Nothing kills the vibe like frantically searching for flight details at check-in or realizing your hotel reservation was for the wrong date.

How I Keep Everything In Order:

  • Create a separate email folder: I create a "Spring Break Travel" folder in my inbox and move every confirmation email into it—flights, hotels, event tickets, everything.

  • Add calendar reminders: I add flight times, check-in details, and any reservations directly into our family’s shared calendar so I get automatic reminders.

Bonus Tip: I always take screenshots of my boarding passes, hotel confirmation numbers, and any important reservations. That way, if WiFi is spotty, I still have access to everything I need! You can easily use the search feature in your photo app to search for keywords like the hotel's name or destination, and the app will search your photos for those words!

Step 3: Plan Your Transportation

Transportation is one of the biggest stress points when traveling, especially when hopping between multiple cities. I always make sure we have a transportation plan locked in before we go!

  • Airport to hotel or AirBnb: Will we Uber, take public transit, or need a rental car? I check ahead and book what’s necessary.

  • Public transit: Depending on the city, public transit might be the easiest (and least expensive) travel option! Be sure to do your research so you can purchase the correct passes and know your stops ahead of time.

  • Rental car: If we were road-tripping, I’d make sure to book the rental in advance to avoid any outrageous last-minute rates.

Step 4: Make Reservations in Advance (Without Over-Scheduling Yourself)

I’m all for spontaneity, but there are some things I always book in advance!

  • Restaurants: I make reservations for at least one or two must-visit spots every day of our trip (because nothing’s worse than a long wait when you’re on the verge of getting angry!). I choose spots that don’t require a deposit or credit card for the reservations. That way, we can cancel last minute if we change our minds.

  • Tickets & Tours: If there’s an activity we really want to do, I book it ahead of time to secure our spot. I find this also helps spread out the travel budget. Each month or week leading up to the trip, I might book one or two events or tours and pay in advance. This keeps sticker shock low once we finally arrive.

  • Hotels: I make sure we have early check-in or luggage storage options in case we arrive before our room is ready.

  • Leave gaps in your schedule so you have time to relax and explore without feeling rushed.

Step 5: Organize a “Travel Folder” for Easy Access

Even though I love digital organization, I still carry a small physical travel folder with:

  • Printed hotel + flight confirmations

  • A small map with key addresses

  • Emergency contacts + travel insurance info

This way, if we run into any issues, I have backup copies of everything and don’t have to rely on my phone.

Step 6: Prep Your Home & Work Before You Leave

The last thing I want is to be stressed about life back home while I’m supposed to be on vacation.

Home Prep

  • Arrange for mail/packages to be held (or ask a neighbor to grab them).

  • Do a quick house clean-up (nothing feels better than coming home to a tidy space).

  • Set up any necessary pet or plant care ahead of time.

  • Eat or dispose of any leftovers in your fridge so you don’t come home to any mold or nasty smells.

Work Prep

  • Set an email auto-responder so clients know you’re away.

  • Wrap up any important deadlines before leaving.

  • If you do plan to check in, schedule dedicated work time instead of constantly refreshing emails.

Final Step: Actually Enjoy the Trip!

After all this planning and organizing, the most important thing is letting go and having fun.

Because at the end of the day, travel isn’t about the perfect itinerary—it’s about the experiences, the fun unexpected moments, and the memories made with the people you love!
